Question 1

What is NinjaAlert and how does it work?

Accepted Answer

NinjaAlert monitors World Ninja League (WNL) run order pages and sends you an email when your athlete's run order is posted. Starting 3 days before your competition, we check the WNL run order page every 30 minutes. When the run order goes live, you get an email with your athlete's position and wave—no more refreshing the page yourself.

Question 2

What competitions are supported?

Accepted Answer

NinjaAlert supports World Ninja League (WNL) competitions across all regions and divisions. This includes Tier 1 and Tier 2 events in the US (Heartland, Midwest, New England, North Central, Northeast, Northwest, Rocky Mountain, South Central, Southeast, Southwest), Canada, and international regions including Europe, Asia, and Oceania. All WNL divisions are supported: Kids, Mature Kids, Preteens, Teens, Young Adult, Adult, Elite, and Masters.

Question 3

How do I add my athlete?

Accepted Answer

After signing up, go to your dashboard and click "Add Athlete." Enter your athlete's name exactly as it's registered with WNL, then select their region and division—that registered name is what we match against in the run order, so spelling and spacing matter. The NinjaWorks athlete ID is optional: leave it blank and we'll still match by name. You can find the ID in your athlete's NinjaWorks profile, or—once a run order is posted—in parentheses next to their name; add it anytime for a guaranteed match. This matters most at Worlds: if two athletes share the same name and neither has an ID on file, we won't guess. Rather than risk alerting you about the wrong athlete, we send no notification—and adding the ID removes that ambiguity so your athlete is always matched correctly. It works the same whether you add an athlete yourself or your gym imports them for you.

Question 4

How do I add a competition?

Accepted Answer

From your dashboard, choose an athlete and click "Add Competition." Enter the format, tier, facility name, date, and the email for alerts. Type the facility the way the WNL schedule lists it. As you fill in the form, we compare your details with the latest WNL schedule we've read and tell you what we found. If the event is outside your athlete's home region, change the event region. Monitoring starts automatically 3 days before the competition, and the card on your dashboard shows the date.

Question 5

How do I get notified when the run order is posted?

Accepted Answer

You'll receive an email at the address tied to your NinjaAlert account. The email includes your athlete's name, competition, facility name, position number, wave assignment, and—on Starter, Premium, and Gym plans—an estimated run time.

Question 6

How accurate and timely are the notifications?

Accepted Answer

We check the run order page every 30 minutes starting 3 days before the event, until WNL publishes it. In practice, most notifications go out within 30 minutes of the run order being published. NinjaAlert is not affiliated with WNL, and we can't control when they post run orders—but we'll notify you as fast as that window allows.

Question 7

What if the run order changes after I'm notified?

Accepted Answer

Once WNL posts a run order, we stop checking that page — we don't keep polling a published event. If WNL later updates positions or adds waves, we send a follow-up when we receive the updated order. If your athlete wasn't in the first posting, we flag the gap so it can be followed up.

Question 8

What does the calendar invite (.ics) include?

Accepted Answer

On Premium and all Gym plans, your notification email includes a .ics calendar attachment you can import into Apple Calendar, Google Calendar, Outlook, or any calendar app. The calendar event includes your athlete's estimated run time, the facility name and address, and a link to the full run order page.

Question 9

What's the difference between Free, Starter, and Premium?

Accepted Answer

All plans include run order email notifications with position and wave info. Here's what each adds:

• Free ($0/mo): 1 athlete profile, 1 competition per month.
• Starter ($2.50/mo or $24/year): 2 athlete profiles, 2 competitions per athlete per month, estimated run time, and facility address & directions.
• Premium ($5/mo or $48/year): 5 athlete profiles, unlimited competitions, estimated run time, facility address & directions, .ics calendar invite attachment, and facility social media links for course demos and walkthroughs.

Annual plans save 20%.

Question 10

What are the Gym plans for?

Accepted Answer

Gym plans are designed for ninja gyms and coaches managing a full competition team. All gym plans include every Premium feature for every member, plus a unique invite code for team onboarding, a member management dashboard, and a coach competition dashboard showing all athletes at a glance.

• Gym Starter ($39/mo or $374/year): Up to 25 gym slots
• Gym Premium ($69/mo or $662/year): Up to 50 gym slots
• Gym Elite ($109/mo or $1,046/year): Up to 100 gym slots

A slot is used by your gym account, each coach, each athlete, and each joined parent account — so plan for parents joining, not just athletes.

The first gym you start comes with a 14-day free trial. A card is required to start it, and it isn't charged until the trial ends; cancel before then and you pay nothing.

Question 11

How do I cancel or change my plan?

Accepted Answer

You can cancel or change your subscription at any time through your account settings via the Stripe customer portal. If you cancel, your paid features stay active through the end of the period you already paid for. Changing plans in the portal takes effect immediately. Stripe applies the difference as a credit on a future invoice, not as cash back. We do not refund the unused part of a period you already paid for.

Question 12

Do you offer annual billing?

Accepted Answer

Yes. Annual billing saves 20% on all individual plans: Starter ($24/year vs. $30) and Premium ($48/year vs. $60). Gym plans save about 20% too: Gym Starter $374/year vs. $468, Gym Premium $662/year vs. $828, and Gym Elite $1,046/year vs. $1,308.

Question 13

How does the gym invite code system work?

Accepted Answer

When a gym owner purchases a Gym plan, NinjaAlert generates a unique invite code for their gym. The gym owner shares this code with their athletes and families. When a member signs up or logs in and enters the invite code, they're linked to the gym's plan and their competitions are visible on the coach dashboard—without any individual subscription required.

Question 14

Can coaches see all their athletes in one dashboard?

Accepted Answer

Yes. The coach competition dashboard shows all gym athletes, their upcoming competitions, monitoring status, and run order results in a single view. During competition weekends, you can see all athletes grouped by facility and wave.

Question 15

What roles exist in a gym account?

Accepted Answer

Gym accounts support three roles: Gym Owner (full access, billing, invite code management), Gym Coach (can view all athletes and competitions, manage athlete profiles), and Team Member (their own athlete profiles and competitions are covered under the gym plan).

Question 16

What happens if my gym grows beyond my plan's athlete limit?

Accepted Answer

If your gym reaches its member limit, new members won't be able to join via the invite code until you upgrade to a larger plan. You can upgrade anytime from your gym dashboard. Contact us if you need a custom plan for more than 100 athletes.

Question 17

Is my data and my child's data safe?

Accepted Answer

NinjaAlert stores your email address and your athlete's name, region, division, and competition details so it can match run orders. A run order email also includes the other athletes in that wave, because those names are on the public page. We don't sell your data. Athlete profiles do not include a birth date, a school, or a medical detail. See the Privacy Policy for what deletion removes and how long scraped copies stay.

Question 18

How do I delete my account?

Accepted Answer

You can delete your account at any time from your dashboard settings. Deletion removes your login, your profile, and the athletes on that login. It also removes that account's competitions and alerts, and the delivery records tied to that login. If you own a gym, the gym is deleted too and its athletes stop receiving run-order alerts at that moment. Any paid subscription we can reach is cancelled immediately so you aren't charged again. The unused remainder of the term you already paid for isn't refunded, and any invoice already issued remains due. Saved copies of public run orders stay. Those copies are shared and can name other children. A scheduled cleanup aims to remove them after about 90 days and can take longer. Alert emails already sent to other families stay sent, including anything already in an inbox. We do not delete Stripe's customer record or its invoices.

Question 19

What if my competition isn't listed?

Accepted Answer

When you add a competition, we compare it with the latest WNL schedule we've read. If WNL lists your event under a slightly different name, tier, or region, tap "Use this listing." If we don't see it yet, you can still add it. WNL adds events through the season, and we keep checking once monitoring starts. If your card later says "Needs a look" or that the details don't match, open the competition and compare the facility name, date, format, and tier with the WNL schedule. If the event is in another WNL region, change the event region. Still stuck? Contact us and we'll look into it.

Question 20

Is NinjaAlert affiliated with World Ninja League?

Accepted Answer

No. NinjaAlert is an independent service and is not affiliated with, endorsed by, or officially connected to World Ninja League or NinjaWorks. Run order data is sourced from publicly available WNL pages.
